EHR Project Manager

Under the supervision of the Associate Vice President for Health Informatics and Data Services, the EHR Project Manager will be responsible for the timely and accurate EHR migration and implementation. This position will organize internal and external meetings, update project schedules, create workflow procedures and engage in ongoing communications. This position will provide input for budget considerations and ensure proper customer support is being provided to the departments. Must have proven experience managing enterprise wide application implementations.

Responsibilities:

  • Provide support to project team by creating and managing project scheduling, tracking issue management/resolution, risk management, change management, and status reporting throughout the project lifecycle
  • Responsible for coordinating timely project meetings, producing meeting notes, and following up on any necessary action items
  • Engage in consistent communication with the team with respect to the status of the project
  • Acting as the primary contact for issues and help ensure the right resources are put in place to resolve issues
  • Create and maintain project documents in various capacities that will benefit the overall department to ensure goals and deadlines are being met
  • Creating a project plan and helping to ensure deadlines are met on time in accordance with the implementation plan
  • Regularly conduct internal and external project reviews to work to improve processes
  • Create instructional guides, standard operating procedures and user manuals as needed
  • Facilitate various field trainings; in person, remote/virtual, 1:1, based on user feedback and needs
  • Technical writing including the ability to understand a business problem, write out the requirements professionally and be able to translate that into an executable task
  • Create tracking reports and present to key stakeholders including presentations for executive leaders
  • Taking initiative to foster collaboration and team building within the project team group and offering new ideas for process improvement
  • Collaborate with cross-functional teams
  • Provides daily operational management and oversight to the EHR migration
  • Manages internal requests for changes
  • Participates in EHR user groups, meetings and advisory boards to champion Fenway’s needs
  • Provides input and researches new products that will enhance the technical productivity of the organization.
  • Works with clinical, public health, operational, and informatics departments to develop and update best practice workflows to meet the health center’s needs.
  • Work directly with department leadership to prioritize projects and troubleshoot problems.
  • In conjunction with the Informatics and Data colleagues, assists with design, implementation, and maintenance EHR reports as needed
  • Multitask and prioritize tasks, using appropriate critical decision-making.
  • Work independently and/or collaboratively to bring problems to a complete resolution.
  • Track budget related expenses for the implementation

Supervisory Duties:

  • No direct supervisees
  • Responsible to answer questions in the absence of the Associate Vice President for Health Informatics and Data Services.

Requirements

  • Minimum of Bachelor’s degree or 5 + years relevant experience in project management is required. Education in related field such as computer science, public health, medicine, mathematics, information technology, informatics, project management, or social science.

Experience/Other Requirements

  • PMP Certification or Project management experience, required.
  • EHR implementation project management required.
  • Experience in using project management software such as MS Project, SmartSheet or similar product.
  • Demonstrated knowledge of Epic required.
  • Exceptional written and verbal communication skills
  • Strong interpersonal, collaboration and customer service skills
  • Proven presentation skills
  • Comfortable interacting with all levels of management
  • High level of initiative, ability to work with minimal supervision and ability multi-task
  • Understanding of healthcare industry practices a plus, but not required
  • Experience working with outside vendors
  • Ability to work collaboratively within a multi-disciplinary and diverse team is required
