Human Resources Associate

The Human Resources Associate is responsible for performing a variety of administrative tasks to support the Human Resources Department in the areas of employee onboarding and orientation, benefits administration, performance and learning management, and other related areas. The Human Resources Associate will also maintain departmental paper and electronic files, and provides support to the department’s operational activities at Fenway Health.

 

1. Performs a variety of administrative tasks in support of the Human Resources function

  • Maintains staff electronic personnel files and documents, while preserving employee confidentiality at all times
  • Track completion of various forms and e-documents such as new hire paperwork, performance evaluations, CORI reports and annual trainings
  • Produce personnel reports for other department and outside entities, including the monthly anniversary, staff and termination lists
  • Coordinates incoming and outgoing departmental mail and packages, including preparing bulk mailings in support of department activities
  • Coordinates inventory and replenishment of department office supplies

2. Assists with employee onboarding

  • Initiates all reference checks prior to verbal offers
  • Ensures all information and documents have been added to our HRIS and DynaFile, once an offer has been made to a prospective employee
  • Ensures that all new employees have fully completed onboarding and been CORI screened
  • Documents all non-regular employees on the Staff List
  • Documents and tracks I-9s and voluntary self-identification forms

3. Assists with benefits administration

  • Orders and distributes passes for Fenway’s MBTA program
  • Manage Fenway’s Applause program and distributes employee recognition certificates
  • Sends out weekly wellness drawing email to ‘all-staff’
  • Assists in preparing for internal and external audits by reviewing files and pulling requested documents

4. Processes all Human Resources’ purchase orders

  • Writes up and processes all department purchase orders (POs)
  • Tracks and documents when employees are eligible for referral bonuses and anniversary recognition and submits POs for payment

5. Assists in maintaining both the Performance Management and Learning Management System in Paylocity

  • Uploads and maintains Leaning Management System content
  • Ensures tasks are properly assigned to employees in Paylocity’ s Performance Management and Learning Management System
  • Tracks supervisors’ and employees’ progress in completing annual and thee-month evaluations, and provides troubleshooting and prompting to complete tasks as needed

6. Assists with department orientation and trainings

  • Reserves meeting rooms and provides related logistics; which may include notifying participants, ordering food and coordinating internal IT and Facilities staff as needed
  • Creates and maintains electronic employee personnel files, and ensures all required documents are included in the files
  • Maintains our online training platform, and ensures all modules are up-to-date and the system is operating properly

7. Meet agency participatory expectations

  • Adheres to all agency and departmental policies and procedures
  • Participates in quality assessment and improvement activities as requested
  • Adheres to the highest principles of patient and client confidentiality
  • Adheres to established safety policies, procedures and precautions; identifies potential or actual unsafe situations in the environment and takes measures to rectify the situation
  • Attends all required meetings, in-services and professional trainings
  • Maintains professional competence necessary to perform job responsibilities; maintains and provides agency with records of continuing education activities
  • Serves on agency committees and in professional organizations when requested

8. Perform related duties as assigned

 

Requirements

 

  • Minimum of high school degree or equivalent
  • Ability to work harmoniously and effectively with colleagues, patients, clients and vendors across the spectrum of diversity, including but not limited to race, ethnicity, color, gender identity, sexual orientation, age, socio-economic status, national origin and immigrant status, religious or spiritual identity, disability (physical, mental, emotional and developmental), veteran status, and/or limited English proficiency.

Preferred Qualifications:

  • Working knowledge of Microsoft Outlook, Excel and Word
  • Proven ability to work within multiple online databases simultaneously
  • Experience working within a Human Resources department or related field, or educational background in Human Resources
    One year of office experience strongly preferred
  • Prior experience working with a Human Resources Information System (HRIS) platform strongly preferred
  • Ability to handle multiple tasks and prioritize assigned duties
  • Excellent communication skills and the ability to work independently
  • Experience working with an ethnically, culturally and racially diverse staff preferred
  • Ability to work harmoniously with diverse groups of individuals required
